This policy covers:

• school owners and administrators using the web dashboard;
• teachers and staff with portal accounts;
• visitors to our marketing pages, sign-in and sign-up flows;
• student and parent data entered by schools into the system (processed on the school's behalf).

Account information: name, email, mobile number, role, login credentials and authentication session data.

School operational data: information your institution enters about students, guardians, teachers, staff, fees, attendance, examinations, transport, hostel, library and communications.

Usage and security data: IP address, device and browser type, pages visited, audit log entries (who changed what and when), error logs and support correspondence.

Referral and contact data: details you submit through referral forms, demo requests or support emails.

We use information to:

• provide, secure and improve Qcampus;
• authenticate users and enforce role-based access;
• generate reports, receipts, notices and other school workflows you request;
• maintain append-only audit logs for accountability;
• respond to support requests and product communications;
• comply with law and prevent fraud or abuse.

For student, parent, teacher and staff records entered by a school, the school is generally the data fiduciary or controller under applicable Indian law. Qubanix acts as a data processor or service provider, handling that data only to deliver the platform according to the school's instructions and this policy.

We do not sell personal data. We may share information with trusted infrastructure and service providers (such as cloud hosting, database, email and analytics partners) who process data on our behalf under contractual safeguards. We may also disclose information if required by law or to protect rights, safety and security.

Account and school data are retained while your organisation uses the service and as needed for backups, legal obligations and dispute resolution. Schools may request export or deletion subject to contractual terms and legal requirements. Audit logs may be kept for compliance even after certain records are removed.

We use technical and organisational measures including encryption in transit, access controls, row-level security in the database, role-based module permissions and monitoring. No online service can be completely secure; please use strong passwords and report suspected incidents promptly.

Depending on applicable law (including the DPDP Act, 2023), individuals may have rights to access, correct, erase or restrict processing of their personal data, and to lodge complaints with relevant authorities. School users should contact their institution first for student or staff records; account holders may contact us directly for portal account matters.

Student information is provided by schools with appropriate authority from parents or guardians. We do not knowingly market directly to children through the admin portal. Parent and student mobile access is governed by the school's policies and our agreements with the institution.

We use essential cookies and local storage to keep you signed in, remember preferences (such as theme and selected center) and protect sessions. Optional analytics may be used to understand product usage. You can control non-essential cookies through your browser settings where applicable.

Data may be processed in India and, where necessary for hosting, in other countries with appropriate safeguards consistent with applicable law.

We may update this Privacy Policy from time to time. The "Last updated" date at the top will change when we do. Material changes may also be communicated through the product or by email where appropriate.
